When you place an order or contact us, we collect:
- Your full name, email address, and phone number.
- Mailing address, when physical delivery of apostille documents is required.
- Documents you upload for translation, notarization, apostille filing, or USCIS form preparation (which may contain sensitive personal information such as government IDs, certificates, and immigration records).
- Payment information processed by our payment provider (Stripe). We do not store full card numbers on our systems.
- Limited technical data (IP address, browser, timestamps) for security and fraud prevention.
2. How Documents Are Stored and Secured
Uploaded documents are stored in a private, access-controlled cloud storage bucket provided by Supabase, with encryption both in transit (TLS) and at rest. Access is restricted to our authenticated staff who need it to complete your order.
3. Backup Storage (Google Drive)
For redundancy and business continuity, completed documents and related files may be mirrored to a private Google Drive folder owned and controlled by Traducciones Notariadas. The backup is restricted to internal staff and protected by Google's encryption and account-level security.
4. Who We Share Information With
We do not sell or rent your personal information to third parties. We share information only with:
- The notary public assigned to your order, when notarization is part of the service.
- State or government agencies (e.g., Secretary of State for apostille filing) as required to complete the service you ordered.
- Service providers that operate our infrastructure (cloud hosting, storage, email delivery, payment processing), under contractual confidentiality.
- Law enforcement or courts when required by valid legal process.
5. Data Retention
Uploaded documents and order records are retained for up to one (1) yearafter completion of the order, then permanently deleted from our active storage. Backup copies are removed within a reasonable additional period. You may request earlier deletion at any time (see Section 7).
6. Cookies and Analytics
We use a small number of cookies and similar technologies for site functionality, language preference, and aggregated analytics. We do not use advertising trackers.
7. Your Rights
You have the right to:
- Request a copy of the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your documents and personal information.
- Withdraw consent or close your account.

8. Children's Privacy
Our services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us so we can delete it.
